PRIVACY NOTICE FOR OUR CUSTOMERS

Under the GDPR indications, at ATC Global Solutions Oy Ab– including its division Travelcargo International Removals– we have the obligation of maintaining your information accurate, confidential and safe. In this document we tell you about the personal data we collect when we provide you with a service, how we process it, and what are your rights.

In this policy, “the company” includes the parent company, ATC Global Solutions Oy Ab and its division, Travelcargo International Removals. References in this Privacy Policy to “ATC”, “we”, “us”, “our” and like terms should be interpreted accordingly.

Travelcargo International Removals is a division of ATC Global Solutions Oy Ab, that provides International Removals services, as well as animals, fairs and events logistical solutions plus excess baggage services to private and corporate customers.

The information we hold and process:

We collect and process only personal data that is necessary for us to provide our services. The personal data that we process depends on the service provided and its own requirements. We hold and collect personal data on our customers, and on our suppliers/agents.

How do we collect your information?

We mainly collect information directly from you. If needed, we may also receive information about you from our agents/third party suppliers in order to provide you with our services.

Why do we process your personal data?

We have a legitimate reason to process your data in order to provide our services and fulfill the obligations acquired under our business contract (Article 6(1)(b) GDPR).  We also process and hold your personal information to be able to provide it, if needed, to public authorities when complying with our legal obligations.

We will not use your personal information for different purposes than the ones stated in the privacy notice, unless we reasonably consider that we need to for another reason and that reason is compatible with the original purpose. In that case, we will notify you and explain the legal basis that allows us to do so. When it is required or permitted by law, we may process your personal information without your knowledge or consent.

Where is your personal data stored?

Depending on the nature of your data, it will be stored in a range of different places; in the organization’s accounting system and in the company´s data protected cloud archives. Some of your contact details are temporary stored also in the company IT systems (email system). Your sensitive information is sent always encrypted and personal data in paper format is securely destroyed as soon as it is no longer needed.

How do we share your information?

We share your information internally when needed, as well as with third parties when necessary to provide our services. Your information is shared also with governmental institutions, (e.g. customs authorities), as well as our accounting system provider if billing.

Our third-party service providers are not allowed to use your personal data for their own purpose. We make sure third-party services have agreed on only processing your personal information for the specified purpose that they are supposed to. These third parties are under a duty of confidentiality.

Also, we may disclose your personal information: as required by applicable law or regulatory requirements; to comply with valid legal processes such as search warrants, or court orders; during emergency situations or where necessary to protect the safety of a person or group of persons; with your consent where such consent is required by law.

How long will we keep your data?

Your data will be kept for as long as we are providing you with the agreed services, and after that, we will keep the required information to fulfil our obligations only for as long as we are legally obliged.

How do we protect your information?

The company maintains appropriate physical, technical and organizational measures to ensure the security of data. These measurements are designed to protect your personal information from loss and unauthorized access, copying, misuse, modification or disclosure.

What are your obligations?

It is your duty to provide the company with the required information. If you fail to do so, we may not be able to fulfill our obligations stipulated in the contract. It is your responsibility to make sure that the information we have and you have provided is accurate and current.

Your rights:

You have the right to access to your personal information at any time; to update your information or require that we modify incorrect or incomplete data; to request that we delete or stop processing your data, when is no longer necessary for the purposes of processing and to request the transfer of your personal information to another party.

If for some reason we cannot provide you with access to your personal information, we will inform you and provide you with proof of the reasons why.
